Volunteers
Dear Colleagues,
Thank you for your interest in volunteering at the 10th National AMSA ARC/UCD Pre-Medical & Pre-Health Professions Conference: “Mapping Your Path to Medicine.” This event would not happen without your help and support.
The conference has expanded to cover the Pavilion, Main Quad, Wellman, Olson, Social Science, and Young buildings as the projected number of attendees doubled from that of last year to 6,000. We have great speakers and guests lined up who will need your help to get across campus, and also attendees who will be looking for your help to get around campus. We can tell you as coordinators that we have enjoyed the interaction with many of the speakers, and we are excited about hosting the largest pre-med conference in the country.
Duties
As a conference volunteer, you will be responsible for the following:
- Setting up/dismantling the conference;
- Serving lunch and dinner;
- Escorting speakers around campus;
- Assisting with registration;
- Workshop support. Specifically, the workshop volunteer coordinators will be responsible for the smoothness of the 84 workshops;
- Assisting guest speakers and attendees.
- Fulfilling other tasks given by Conference Coordinators.
Orientation
We will have a quick, 1-hour intro and task coordination on Thursday October 4, 2012 at 9pm-10:20pm at UC Davis (exact Location TBA). We will go over the tasks and assignments. Our goal is to have your support and assistance for a successful conference, and we hope to provide you enough time to interact with guests and attend conference events.
Requirements
- Must register online (see below);
- Attend an orientation on Thursday October 4, 2012 at 9pm-10:20pm at UC Davis (exact Location TBA);
- Work a 4-hour shift during the conference.
Benefits

- A current MSAR (Medical School Admission Requirements) book published by the AAMC;

- Free admission to the conference (NOTE: the waiver includes the admission ticket only and DOESN’T cover bus packages);
- Food before or after shift;
- Appreciation dinner + raffle (Location, Time and Date TBA). The raffle will include four Kaplan courses (GRE, MCAT, DAT, OAT) and other awesome gifts.
UC Davis Student Organization Monetary Incentive
If you are a UC Davis Student Organization (club, fraternity, sorority, clinic, sports, etc), there is a monetary incentive for the organization.
For every hour of volunteer service, your organization will receive a point, and we will tabulate all the points. The organization that accumulates the most points will win the following prizes:
- 1st Place: $1,000
- 2nd Place: $500
- 3rd Place: $200
For example, 10 volunteers x 4hr each = 40 points total for organization.
Requirements
- This opportunity is available ONLY to UC Davis student organizations.
- The individual volunteer MUST state her affiliation at time or registration;
- All volunteers of the organization must attend the orientation.
- All volunteers of the organization must complete their shifts.
If the volunteer of an organization does NOT show up, or misses his or her shift, then that organization will have a point deducted from its total accrued hours (example, if a volunteer fails to show up for 4 hours, then 4 points will be deducted from the organization’s total).
Regular Volunteer Shifts
Please pick one four-hour block to commit for the conference. Keep in mind that you must remain on site the entire allocated time. Please limit your shift to only one four-hour block. Failure to attend orientation will result in an automatic volunteer withdrawal and cancellation of benefits.

Special Volunteer Opportunities
Workshop Room Coordinator/Speaker Support
Requirements
- Bring your own laptop, charger, and USB drive to the volunteer shift;
- Attend mandatory orientation Thursday October 4, 2012 at 9pm-10:20pm.
This is a special opportunity for you to interact directly with speakers, many of whom are deans from some of the top medical schools in the country. You will be coordinating an assigned workshop (4.5 hours), which will require you to connect your laptop to the projector and assist the speaker by running his or her PowerPoint presentation. We will teach you how to use the presentation equipment and what to do.
Workshop Room Coordinator Shifts/Speaker Support Shifts
- Saturday October 6, 2012, 1:00pm-6:00pm;
- Sunday October 7, 2012, 12:00pm-5:00pm.
Staff Volunteer
This is a special opportunity for you to work with conference board members.
Requirements
- Attend 4 meetings at UC Davis Medical Center before the conference:
- Sunday, September 9, 2012, 12pm-6pm,
- Sunday, September 16, 2012, 5pm-7:30pm,
- Sunday, September 23, 2012, 3pm-7:30pm,
- Sunday, September 30, 2012, 5pm-7:30pm.
- Have experience volunteering for this annual conference in the past.
This is a great opportunity for you to get experience in organizing a conference. You will be trained to manage information booths, volunteer registration, and attendee registration. Also, serving as a Staff Volunteer a great pathway to getting more involved with the planning for next year’s event.
This opportunity will also count for the UC Davis Student Organization incentive program.

- Regular Volunteer and Workshop Room Coordinator: October 1, 2012 at 11:59pm or until filled (available on a first-come, first-served basis).
- Staff Volunteer: September 1, 2012 at 11:59pm.
NOTE: You can volunteer even if you’ve already registered for the conference. However, you will not receive a reimbursement or transfer for your ticket fee.
